Cancellations and refunds

Last updated: 22 August 2026

Gyan Gaming sells two things: digital download products listed on the Digital Products page, and project-based digital campaign work for brands listed on the Packages page. Each has its own cancellation and refund terms, set out below.

1. Digital download products: cancellation

These terms apply to the five downloadable products listed on the Digital Products page.

  • An order may be cancelled for a full refund at any time before the download link has been sent.
  • Once the download link has been sent, the product is treated as delivered and the order is not refundable, because the files can be copied and retained. This is stated on the product page and again on the payment link before payment is made.
  • If the wrong product was delivered, the correct product is sent at no extra cost, or the order is refunded in full if the buyer prefers.

2. Digital download products: failed or faulty files

If a download link does not work, expires before it is used, or the files are damaged or incomplete, email contact@gyangaming.com with the order reference within 7 days of delivery.

  • A replacement link is issued at no cost, normally within one working day.
  • If a working file set still cannot be delivered, the order is refunded in full.
  • A duplicate order created by a repeated payment is refunded in full once identified.

3. Standard package cancellation terms

These terms apply to the five packages listed on the Packages page unless the accepted proposal says otherwise.

  • Cancellation within 48 hours of invoice settlement, and before production or scheduling has started: full refund.
  • Cancellation after production or scheduling has started but before first delivery: refund of the amount paid less the work already completed and any committed third-party cost, as itemised in writing.
  • Cancellation after a deliverable has been published or handed over: no refund for that deliverable. Any undelivered items in the same package remain refundable on the basis above.

4. Refund processing time

An approved refund is confirmed by email within 5 working days of the decision and processed to the original payment method within 7 to 10 working days of that confirmation. The time taken by the client bank or card issuer to post the credit is outside the control of Gyan Gaming.

5. Project-specific terms

The accepted proposal, statement of work, or invoice records the cancellation, rescheduling, and refund terms for that project. Where those written terms differ from the standard terms above, the accepted project document controls. A client should review it before confirming the project.

6. Before work begins

If a client asks to cancel before production begins, the parties will apply the cancellation terms in the accepted project documents. Any committed third-party cost or other non-recoverable project cost will be handled only as those documents state.

7. After work begins

When planning, production, editing, revisions, or delivery has started, completed work and committed costs may affect any amount due or refundable. The calculation and ownership of completed material follow the accepted project documents.

8. Changes and rescheduling

A request that changes the brief, deliverables, timeline, approval process, or usage may require a revised proposal. Rescheduling is subject to the creator schedule and any project-specific deadline already agreed.

9. Failure to deliver agreed work

If Gyan Gaming cannot provide an agreed deliverable, the parties will use the remedy written in the applicable project document. This may include a replacement deliverable, revised schedule, project credit, or refund where that document provides for it.

10. How to make a request

Email contact@gyangaming.com with the brand name, project reference, invoice reference, requested change, and reason. Requests are reviewed against the accepted project documents.

11. Digital services and physical goods

The work is digital. No physical goods are offered, so there is no physical return or exchange process. Delivery terms are explained in the Digital Delivery Policy.

Important: Sending an enquiry does not create a project or fee. Commercial obligations begin only under accepted written project terms.
